Who we are: Carter Care Solutions Ltd provides relief staffing to children’s homes and similar settings. We are the data controller for the personal data we collect about your staff contacts and any limited child risk/needs information you share to enable safe staffing. We act as an independent data controller; your organisation is a separate controller.

What we collect

Manager/staff contact details; enquiries and bookings.
Limited child need/risk summaries strictly for matching/briefing (e.g., routines, triggers, supervision level) as provided by the home. Minimum necessary. We do not create children’s files.
Service correspondence and invoices.

Why we use it and the lawful bases

Provide and manage services, including safe matching and shift delivery (Contract; Legitimate interests).
Safeguarding and incident management where necessary (Legitimate interests; Substantial public interest — safeguarding).
Finance and audits (Contract; Legal obligation).
Professional B2B marketing with opt-out (Legitimate interests).

Sharing

With assigned self-employed workers (only what is necessary to perform the shift safely).
With our processors (Google Workspace, HubSpot, QuickBooks, secure e-signature/email providers, IT support) under contract.
With insurers, regulators, or authorities where required by law or safeguarding.
We avoid sending identifiable child details by email/SMS; please use secure channels or pseudonymised summaries

International transfers. Some processors store data outside the UK. Safeguarded by the UK Addendum/IDTA

Retention

Booking/correspondence: 6–8 years after last activity (longer if safeguarding/claims).
Finance: 6 years.
